How to create a filter using Gmail

Setting a filter allows you to route specific messages to a specific folder, or a specific email account. Creating a filter can be useful for organizing your inbox. This guide will highlight two useful filtering functions:

1. Filtering certain incoming e-mails into a folder instead of the inbox.
2. Filtering certain incoming e-mails to a different e-mail account.

Setting up the filter

  • Go to https://gmail.com and log in to your e-mail account.
  • Click on the arrow that is beside the search box at the top of the page.


  • This will open up a new pop-up with information (pictured below) about exactly what you’d like to filter. The information you enter here tells Gmail how to identify which e-mails you’d like to filter. You can filter by sender, recipient, subject, content, size, date and more.



  • In the example below, we will be creating a filter for all of the Digitech Committee e-mails. Since all committee messages come with a ‘prefix’ on the subject, we will use that prefix to identify these messages (please note the prefix for the committees have changed as of 2022).



  • Next, click on ‘Create Filter’ at the bottom of the pop-up. This will bring up a new view as pictured below.



  • On the above screen is where you tell Gmail what to do with these messages.

Filtering into a folder

  • If you want the filtered e-mails to go directly into a folder, instead of your inbox, check the box titled Skip the Inbox (Archive it) and then click Apply the label. Then, use the dropdown box titled Choose label… to select the folder you’d like to put it into.
  • Optionally, you can click Also apply filter to [#] matching conversations. This will move any existing conversations it finds in your inbox, into the selected folder. If you do not check this box, the filter will only apply to e-mails you receive in the future.
  • Click on Create Filter at the bottom of the screen. Your filter is now active!

Filtering into another account

  • If you want the filtered e-mails to go directly to another account click on add forwarding address and follow the instructions listed on this page but only follow steps 4 & 5.
  • Once you have a forwarding address configured on your account, follow steps 2-5 again and you will see that the checkbox for Forward it to: is now able to be checked. Check this box and select the account you’d like to forward it to.
  • Remember to also check the box titled Skip the Inbox (Archive it) if you do not want a copy inside of your inbox.
  • Click on Create Filter at the bottom of the screen. Your filter is now active!
